6 Ways to organize your meetings effectively – meeting minutes

meetingMeetings are often a boring thing in your corporate life, many of the meetings are turned to be unproductive and a sheer time waste. This article covers few point which helps to turn a meeting productive and less boring.

Do it only if it is very much required
Meeting are always a good way to find a solution and bridge the gap between teams. But many times it was noted that meetings are conducted without a valid reason or it can be resolved over a phone call or a group chat discussion. So before setting up a meeting make sure it is absolutely necessary.

Make it short
Meetings should be for a purpose and it should be kept short. If the meetings are longer, audience would be less concentrated on topic and overall output could be low. So always be on point and never lose focus.

Have an agenda
To keep a meeting short, Agenda is a must and it will drive you through the right way and help you to be on topic always.So never send a meeting invite without agenda. Also this would help the participant to come prepared

Minutes of meetings
Minutes of Meetings (MoM) is a good tool to summarize your meeting and it acts as a proof of what you decided on the meeting. Action items can be set and assigned in minutes of meeting.Store it for a future reference.

Follow Up
Another common mistake which I have noticed is once meeting is over, we never follow up on the action items or not bother to have a follow up meeting for those actions. Thus the problem may keep unresolved. MoM is a good tool for follow up.

Stick to the timing
Never overdo your meetings. Always stick to your timing mentioned in your meeting request. Long meetings can be less productive. Even if you need a long meeting, make sure it is communicated along with the meeting request.

    The first one, do only if its very much required is really correct. Many meetings are useless and unproductive and are conducted just for name sake, esp in my college. Now I have learnt to bunk the useless ones. :)
